Sales handover

Handing sales email replies over to human conversations

How should email responses be handed over to human sales work?

When a reply arrives, assign the next action and its owner according to the content. Outdated records can leave requests unhandled or cause duplicate contact after a call or document delivery. Share needs and current status across email and other contacts.

Who this is forTeams handing replies from outreach operations to sales representatives

Document delivery and calls require human sales judgment. Non-email contacts mean reply rates alone cannot establish contribution to meetings or orders.

Choose the next action from the reply

Decide whether a reply needs material delivery, an answer, contact verification, meeting coordination or closure. Go beyond classification to assign who will do what.

Asking for a meeting before handling a material request can conflict with the prospect’s needs. Hand over stated requests separately from conditions still unconfirmed.

Record owners and deadlines together

Use this example management table to distinguish work awaiting your team from work awaiting the prospect.

Scroll horizontally to view the table.

Item Record
Company and request Prospect and stated need
Latest contact Email, call, material delivery or meeting and date
Waiting state Awaiting our action, their response or closed
Next action Delivery, internal review, answer or scheduling
Owner and deadline Who acts and by when
Discussion findings Conditions, topics and further questions

“Material sent” records a completed task. If a question arrives afterwards, update the state to awaiting your answer rather than leaving it completed.

Include calls and meetings in the same record

An opportunity may progress by phone or meeting without an email reply. Email-only records can prompt duplicate approaches. Add what was learned through other contacts.

If another department is suggested, verify its role and contact conditions. Share prior needs and actions when handing the case to a new representative.

Use confirmed conditions in the proposal

Record what a meeting established as well as its occurrence. Proceed to a specific proposal when scope and timing become clearer.

Review actual email, call and meeting contacts. Do not attribute an order solely to the email. Record which discussion clarified conditions so later representatives can follow the work.
